Ordering and Scheduling Exams
The Site Coordinator manages examination ordering and scheduling through the Site Coordinator Center, available from the Exam Site Support Hub. From the Site Coordinator Center, use the Exam Order Form to submit an examination order or scheduling request. The form will guide you through the requirements applicable to the selected credential and examination attempt..
Before You Order
Before beginning the order, confirm that:
- the Exam Site is registered for the current academic year;
- the credentialing examination has been identified;
- the anticipated number of candidates is known;
- the requested testing date or window has been identified;
- the appropriate Billing Contact information is available; and
- a purchase order (PO) is available to submit with the order.
Review the applicable Exam Overview for current examination fees, attempt and retake requirements, and other credential-specific information.
Submit an Exam Order
Complete the information requested on Exam Order Form. The form will identify the information and requirements applicable to the selected credential and examination attempt.
Submit the request with sufficient time for processing and candidate preparation. Refer to the Exam Calendar and instructions provided on the form for current ordering and scheduling deadlines.
Choose a Testing Date or Window
Select the requested testing date or window as directed on the Exam Order Form.
When selecting a date, consider:
- Exam Proctor availability;
- candidate schedules and competing school-wide testing activities, such as AP, IB, state EOC, or other high-stakes examinations;
- sufficient time for eligible candidates to complete any permitted retakes before the applicable testing deadline;
- candidate enrollment;
- approved accommodations;
- testing-room and technology readiness; and
- current ordering and testing deadlines.
Testing must occur within the dates permitted by the current Exam Calendar.
Review Your Confirmation
After the request is processed, review the confirmation from Biotility.
Verify that the examination, testing date or window, and other order information are correct.
If a correction or change is needed, follow the instructions provided with the order confirmation.
Changes or Cancellations
If an existing examination order needs to be changed or cancelled, use the applicable request process available through the Site Coordinator Portal.
Changes may be subject to processing deadlines or other requirements. Refer to the applicable form and Exam Calendar for current requirements.
For questions about examination fees, billing, payment, refunds, or other financial requirements, refer to the applicable Exam Overview and Exam Site Billing Policies.
After Ordering
Monitor communications from Biotility as the testing date approaches.
The Exam Site will receive information needed to continue preparing for the examination, including applicable candidate enrollment and examination administration information.
Candidate enrollment information should be distributed according to Biotility instructions.
Examination access information must remain secure and must not be provided to candidates before the examination as directed in the Exam Administration Manual and Exam-Day Toolkit.
Preparing Candidates for Testing
How Site Coordinators provide candidates with the information they need to enroll and prepare for testing.
After an examination is ordered and scheduled, Biotility provides the Site Coordinator with a Candidate Enrollment Email to forward to candidates.
The Candidate Enrollment Email is the primary source of information candidates need to enroll and prepare for the examination. Using the provided email helps ensure candidates receive the correct information without being overwhelmed by unnecessary instructions or resources.
Site-specific information, such as the testing location, arrival time, and other local instructions, should be communicated to candidates as needed.
Send the Candidate Enrollment Email
Forward the Candidate Enrollment Email provided by Biotility to all candidates scheduled to test.
The email contains the information and resources candidates need, including:
- instructions for completing examination enrollment;
- the applicable enrollment link and discount code;
- the enrollment deadline;
- information for accessing UF e-Learning;
- links to candidate support resources; and
- the Candidate Information Bulletin.
Do not recreate or modify the enrollment instructions unless directed by Biotility. Forwarding the provided email helps ensure that candidates receive current and consistent information.
Reinforce the Enrollment Deadline
Encourage candidates to complete enrollment promptly rather than waiting until the deadline.
Early enrollment provides time to resolve account, enrollment, or UF e-Learning access problems before testing. Candidates with approved accommodations should complete enrollment at least one week before testing so Biotility can apply approved extended time when applicable.
Confirm Candidate Readiness
Before exam day, confirm that expected candidates have completed enrollment and address known enrollment or UF e-Learning access problems before testing. If an issue cannot be resolved using the available resources, contact Biotility Client Services.
Protect Examination Access Information
The Candidate Enrollment Email and Candidate Information Bulletin are intended for candidates. Examination access code which is emailed separately is not.
Do not provide examination access codes or other secure examination information to candidates before testing. Exam Proctors use examination access information according to the Exam Administration Manual and Exam-Day Toolkit.
Testing Accommodations
How Site Coordinators request, prepare, and implement approved accommodations for an examination session.
Biotility reviews and approves testing accommodations for candidates participating in Biotility credentialing examinations. The Site Coordinator is responsible for submitting accommodation requests and ensuring that approved Exam Site accommodations are ready before testing.
No accommodation may be provided without prior approval from Biotility.
Request an Accommodation
Submit accommodation requests at least two weeks before testing using the Testing Accommodation Request Form.
Submit the information requested on the form about the candidate, examination, and requested accommodation. A request is not considered approved until the Exam Site receives confirmation from Biotility.
An accommodation provided to a candidate by a school, employer, or another organization does not automatically apply to a Biotility credentialing examination.
Ensure the Candidate Enrolls Early
Candidates receiving accommodations must complete examination enrollment at least one week before testing.
Early enrollment is particularly important when extended testing time has been approved because Biotility must apply the extended time to the candidate's examination.
Confirm that the candidate has completed enrollment using the correct account. If the candidate has not enrolled by the required deadline, contact Biotility as soon as possible.
Review the Accommodation Approval
Biotility will provide confirmation identifying the accommodation(s) approved for the testing event.
Responsibilities are divided between Biotility and the Exam Site:
- Biotility
- Reviews and approves accommodation requests
- Applies approved extended testing time
- Identifies the accommodation(s) approved
- Provides guidance when an approved accommodation cannot be implemented as authorized
- Exam Site
- Submits requests at least two weeks before testing
- Ensures candidates enroll at least one week before testing
- Prepares and implements other approved accommodations
- Ensures required personnel, equipment, accessibility settings, and testing arrangements are ready
Extended time is applied by Biotility. All other approved accommodations are implemented by Exam Site personnel unless Biotility provides different instructions in the approval.
Technical Guide to Exam Site Prepared Accommodations
Prepare the Approved Accommodation
Review the approval before the examination and determine what the Exam Site must have ready.
Approved accommodations may include:
UF e-Learning and device accessibility support
- screen readers;
- large-print or text-size adjustments; and
- high-contrast or color adjustments.
Physical testing environment support
- wheelchair-accessible testing stations;
- distraction-reduced testing rooms;
- approved prompts or communication supports;
- access to required medical supplies; and
- approved Scribes or other accommodation personnel.
Only provide the accommodations identified in the approval. Do not independently change, expand, substitute, or remove an approved accommodation.
Prepare Accessibility Technology
When an approved accommodation involves accessibility technology, test the required equipment and settings before exam day whenever possible.
Screen Readers
UF e-Learning supports commonly used screen readers, including:
- Windows: NVDA and JAWS
- macOS: VoiceOver
Confirm that the approved screen reader is installed and functioning on the testing workstation before the examination is launched.
If audio output is required, ensure appropriate headphones are available. Disable unnecessary browser extensions that could interfere with screen-reader operation.
Mathematical content: NVDA may not reliably interpret mathematical content within UF e-Learning examinations unless the NVDA Math Extension is installed and properly configured. If a candidate will use NVDA for an examination containing mathematical content, verify this functionality before testing.
Prepare Approved Text-Size Adjustments
For candidates approved for enlarged text, the Exam Site may use appropriate browser or operating-system accessibility settings.
Google Chrome browser zoom
- Windows: Ctrl + + to increase or Ctrl + - to decrease
- macOS: Command + + to increase or Command + - to decrease
Browser zoom may be appropriate for temporary or moderate enlargement.
For candidates requiring consistent enlargement across the interface, operating-system accessibility settings may be used:
- Windows: Settings → Accessibility → Text size or Display scaling
- macOS: System Settings → Accessibility → Display → Text size or Zoom
Google Chrome remains the approved browser for examination administration.
Prepare Approved Contrast or Color Adjustments
Candidates approved for contrast or color adjustments may use appropriate operating-system accessibility settings.
Examples include:
- Windows: Settings → Accessibility → Contrast themes
- macOS: System Settings → Accessibility → Display → Increase contrast or Reduce transparency
Confirm the approved settings before launching the examination.
Prepare Accommodation Personnel
If an approved accommodation requires a Reader, Scribe, Interpreter, or other authorized individual, add the individual to the Exam Site through the Exam Site Update Form.
Biotility will contact the individual directly to complete the required Biotility Exam Administration and Confidentiality Agreement.
Allow sufficient time for the agreement to be completed before testing. Accommodation personnel may not enter the testing room until Biotility's requirements have been completed.
Before testing, ensure that the Exam Proctor and accommodation personnel understand the approved arrangement. Accommodation personnel may provide only the assistance authorized in the approved accommodation.
If an Approved Accommodation Cannot Be Provided
If the Exam Site cannot provide an approved accommodation as authorized, contact Biotility before the candidate begins testing whenever possible.
Do not substitute a different accommodation without authorization from Biotility.
If a problem with an approved accommodation arises after examination administration has begun, the Exam Proctor should follow the Exam Administration Manual and Quick Response Guide, document the event, and contact Biotility as required.
Requests Made on Exam Day
If a candidate requests an accommodation that was not previously approved, do not independently authorize the request.
Contact Biotility for guidance. An accommodation should not be provided simply because it is available at the Exam Site or because the candidate receives the accommodation in another setting.
Before the Candidate Tests
The Site Coordinator should be able to confirm:
The accommodation is approved. The candidate is enrolled. Extended time has been applied when applicable. Exam Site arrangements are ready. Required personnel are authorized. The Exam Proctor knows what has been approved.
If any of these conditions cannot be confirmed, contact Biotility before testing.
